Grata Fund is seeking an Executive Assistant to provide critical administrative coordination to a busy Executive Director and operations assistance to a growing organisation. This is a full time, hybrid role based at UNSW Law and Justice Faculty, with the flexibility to work from home a few days per week.
The ideal candidate will have previous experience as an executive assistant, operations assistant, paralegal or clerk. They will have a hawk eye for detail, a passion for organisation and a deep personal belief in social justice. They will have proven operations skills, the ability to manage up, and a positive attitude.
This position is a meaningful opportunity for a dedicated Executive Assistant to help Australians hold governments and corporate leaders accountable when they are unwilling or unable to act to preserve and promote human rights and democracy.
Job Responsibilities
The Executive Assistant reports to the Head of Operations and is responsible for the following:
Executive Director Coordination
- Manage the Executive Director’s calendar, inbox and travel bookings
- Coordinate internal and external meetings (agendas, documentation, logistics, follow-ups)
- Monitor and problem solve email inquiries
- Provide general admin support to all Directors
- If you have studied / worked in law you may have the opportunity to provide occasional paralegal support: Conducting research, drafting file notes and drafting simple agreements as directed by the Executive Director or General Counsel from time to time.
Operations Support
Day-to-day operations:
- Act as the face of the company with management of the admin@ account maintaining a warm and welcoming tone to everyone that interacts with Grata.
- Maintain internal systems including digital filing, governance records, and staff databases
- Coordinate travel, logistics and communications for internal and external events and projects
- Manage on all admin tasks related to operations support virtually and on location, or as directed by the Head of Operations
HR Support:
- Coordinate recruitment: Posting job ads, meeting coordination for interviews.
- Coordinate onboarding of new staff, volunteer coordination, and pastoral care
- Manage all admin tasks relating to HR as directed by the Head of Operations
Finance Administration:
- Process invoices, reimbursements, and team expenses via Xero
- Liaise with bookkeepers/accountants to support payroll, EOFY, and salary packaging accuracy
- Manage all admin tasks relating to Finance as directed by the Head of Operations
